Catering Policy

Thank you for trusting us with your event. Catering trays are cooked to order in our
kitchen at 6538 4th Ave S, Suite 1, Seattle. This page explains how ordering, changes,
cancellations and refunds work, so there are no surprises on either side.
Catering order is pickup only and needs at least
24 hours notice to order. Cancel free of charge more than
48 hours before
pickup. After that a fee applies on a sliding scale, because our costs rise as your
event gets closer — ingredients are bought, then staff time is committed, then the
food is cooked.

Placing a catering order
- Catering order is pickup only.
- 24 hours notice minimum. The earliest pickup we can offer is the next business
day, at least 24 hours after you order.
- Business hours. Pickup times run 10:30 AM to 7:30 PM. We are open
Monday and Wednesday through Sunday, and closed Tuesday.
- Tray sizes. Small serves 6–8, Medium serves 10–12, Large serves
16–18. Portions vary by dish; if you are unsure, call and we will help you size
the order.
- Payment. Payment is taken when you place the order, through Stripe, Apple Pay
or PayPal. We never see or store your card number.
Special instructions and allergies
Tell us what you need and we will do our best to accommodate it. When you place your
order, use the Special instructions box to note things like:
- Allergies and dietary restrictions — peanut, shellfish, gluten, vegetarian, vegan
- Preparation requests — sauce on the side, no fish sauce, mild instead of spicy
- Labeling for your guests — which trays are vegetarian, which contain nuts
- Serving needs — extra utensils, plates, napkins, serving spoons
Please state allergies clearly — and call us for severe allergies.
Our kitchen prepares food containing the major allergens — peanuts, tree nuts,
shellfish, fish, soy, eggs, wheat, sesame and milk — in a shared cooking space
using shared equipment. Our staff are trained on major food allergens and allergen
cross-contact as required in King County, and we will take every reasonable precaution
you ask for. However, because we are a shared kitchen, we cannot guarantee that any
dish is completely free of a given allergen, and we cannot guarantee an allergen-free
environment. Fish sauce, shrimp paste, peanuts and soy appear throughout Vietnamese
cooking, including in dishes where they are not obvious.
If you or a guest has a severe or life-threatening allergy, please call
(206) 693-3311 before ordering so we can discuss the specific dish honestly. If we
do not believe we can prepare it safely for you, we will say so.
Food safety notices
Consumer advisory — raw or undercooked foods.
Disclosure: Some of our dishes are served raw or undercooked. Hanoi-Style Phở
(S2) is topped with a raw egg yolk, and our phở is served with rare steak that
finishes cooking in the hot broth.
Reminder: Consuming raw or undercooked meats, poultry, seafood, shellfish or eggs
may increase your risk of foodborne illness, especially if you have certain medical
conditions. This notice is provided under the Washington State Retail Food Code
(WAC 246-215).
Holding and serving catering food safely
Once you collect your order, food safety becomes shared with you. Please:
- Serve within 2 hours of pickup. Under Washington food-safety rules, hot food
held below 135°F or cold food above 41°F for more than two hours should be
discarded — four hours if the room is above 90°F.
- Transport promptly and keep trays covered. Do not leave food in a warm car.
- Keep hot food hot and cold food cold at your event — chafing dishes,
warming trays or coolers as appropriate.
- Refrigerate leftovers within 2 hours and use within 3 days.
We prepare and hold all food to Washington State Retail Food Code standards and our
kitchen is permitted and inspected by Public Health — Seattle & King County. Our
responsibility for food safety ends at pickup; after that it depends on how the food is
transported, held and served.
Changing your order
Plans change. As long as there is enough time for our kitchen to adjust, we are glad to
update your order.
- More than 48 hours before pickup: change items, quantities and tray sizes
yourself in your account — no fee. We price the change live: you pay any
difference, or we refund it automatically.
- Up to 24 hours before pickup: change your pickup time or special instructions
yourself, any time — these never carry a fee.
- Adding to an order: welcome any time we can still source and cook it. If the
new total is higher, we will send a secure payment link for the difference.
- Reducing an order: if the total drops, we refund the difference to your
original payment method.
- Inside 48 hours: call us at (206) 693-3311. Small changes are often still
possible, but tray changes can no longer be made online because ingredients have been
bought for your order.
To request a change, sign in to your account, open the order under
Upcoming orders, and choose Request a change. Your request goes straight to
our kitchen manager, who will confirm by email — usually the same day, and always
within one business day.
Catering Cancellation & Liquidated Damages Policy
Because catering orders require advance purchasing, scheduling, staffing, preparation
and packaging, cancellation charges are established in advance to reasonably compensate
Huế Vietnamese Cuisine for costs and losses that may result from cancellation as the
scheduled pickup time approaches.

How the last two rows work in practice. Once our kitchen has started your order we
do not apply an automatic percentage. We calculate what we actually spent and lost on
your order — ingredients, labour, packaging — and charge no more than that,
capped at the order total. If our actual loss is less than the amount already paid, you
receive the difference back. We will tell you the figures.
Purpose of cancellation charges
These cancellation charges are intended as liquidated damages and reasonable
compensation for anticipated losses. They are not a penalty. Cancellation charges
are intended to reasonably compensate Huế Vietnamese Cuisine for costs and losses
incurred as a result of cancellation.
Those losses may include, as applicable:
- Ingredients purchased specifically for your order
- Nonreturnable or specially ordered ingredients
- Food preparation and production labour
- Staff scheduling and labour commitments
- Packaging and catering supplies
- Preparation time and administrative costs
- The loss of the opportunity to accept another order for that time
Both parties acknowledge that the precise loss caused by a last-minute catering
cancellation is difficult to determine in advance, which is why these amounts are agreed
when the order is placed.
Rescheduling
A request to reschedule is not automatically a cancellation-free change. Rescheduling is
subject to availability, and may be treated as a cancellation and a new order where the
change materially affects purchasing, staffing, preparation, or our ability to accept other
orders. Any applicable cancellation charge is determined by the timing of your request.
Deposits, prepayments and non-fulfilment
- Catering is paid in full when ordered; that payment is credited to your order.
- If you cancel, any amount retained is applied to the applicable cancellation charge,
and any remaining refundable balance is returned to your original payment method.
- If we cannot fulfil your order for any reason, you receive a full refund with
no charge, and we will call you as soon as we know.
Refund timing
- Refunds are issued to the original payment method — card, Apple Pay, or PayPal.
- Once we approve the refund, it usually appears within 5–10 business days,
depending on your bank. PayPal refunds are often faster.
- You will receive an email confirming the refund amount and any fee applied.
Large orders
For orders over $500, or for weddings, office events and parties where timing is
critical, please call us at (206) 693-3311 when you order. We may ask for more than 24
hours notice on very large orders so we can source everything at its best, and we will
confirm your pickup window personally.
Agreement, liability and governing law
Placing a catering order means you accept this policy and our
Terms & Conditions.
- Pickup only. We do not deliver, and we are not responsible for food once it
leaves our restaurant — including transport, holding temperature, and how it is
served at your event.
- Accuracy of your order. Please review your confirmation email when it arrives.
Tell us about any error as soon as possible so we can correct it before we cook.
- Limitation of liability. To the fullest extent permitted by Washington law, our
total liability for any claim relating to an order is limited to the amount you paid
for that order. We are not liable for indirect or consequential losses — for
example event costs, lost profits, or venue fees.
- Circumstances beyond our control. If we cannot fulfil an order because of
events outside our reasonable control — utility failure, severe weather, illness,
supply shortage, or a public-health order — we will contact you as quickly as
possible and refund you in full.
- Governing law. This policy is governed by the laws of the State of Washington.
Any dispute will be brought in the state or federal courts located in King County,
Washington.
- Nothing here limits any right or remedy that cannot lawfully be waived or
limited under applicable law. If any provision is found unenforceable, the remaining
provisions stay in effect to the fullest extent permitted by law.
- Electronic acceptance. By ticking the acknowledgement box and completing a
catering order online, you agree to these Catering Terms including this Cancellation
& Liquidated Damages Policy. Your acceptance, and the date and time of it, are
retained as part of the order record, and the terms you accepted are included in your
confirmation email so you can save or print them.
- Version. We may update these terms. The version that applies to an order is
the version shown to and accepted by you when that order was placed.
